Latest Release. We are pleased to
announce the latest release 1.6.4 (2008.12.30) of Riva CRM Desktop Edition. Use this
link to register to download this application.
Important Upgrade Notice. As this update introduces "Assign to ..."
which requires the renaming of most of the Riva generated folders in
the user's GroupWise client, we highly recommended a reinitialize of
the date. Please refer to the "Recommended Update Procedures" below. In this Release. This update release includes: - Added ability to set color for calendar items.
- Email attachments will now be archived when an email is archived to Salesforce account, quote, opportunity or case.
- Added option in Salesforce connector to set permit users to connect to CRM items using the Omni ConnectBar using the existing authenticated session to avoid repititive logins into Salesforce.
- Added SPLA forms authentication support for MS CRM connector.

- Feature parity has been achieved between Riva CRM Integration for GroupWise Enterprise (release 2.3.4) and Desktop Edition (release 1.6.4).
Recommended Update Procedure:This update will not automatically force a complete resync of data to users' GroupWise
clients. It is highly recommended that updates be done during quiet
hours. If you are updating from Riva 2.3.0 (or higher) please use the normal "Check for Updates" procedures.
If
you are updating from a version of Riva prior to 2.3.0, please use the following procedure: - In Riva CRM Desktop Edition, open your "Settings" and un-check "Use a Synchronization Schedule".
- In Riva CRM Desktop Edition, select "Help" and "Check for Updates". Follow the procedure to update to the latest 1.6.x release. When the download is finished, close Riva.
- In your GroupWise Client, delete your Riva generated CRM address books, and Riva CRM generated folders inside your cabinet. (You will be resynching a fresh copy of the data).
- Start Riva CRM Desktop Edition.
- In Riva CRM Desktop Edition, select "Options" and "Re-initialize with New Settings".
- Under the "Sync Start Time" tab, you can reset the start date and time if you wish.
- Under the "Scheduling" tab, confirm the scheduling options.
- Under the "Address Books" tab, in the "Address Book name prefix" text box specify a name to match your CRM like "SugarCRM".
Riva will generate two address books: SugarCRM | Leads and SugarCRM | Contacts and sync all assigned accounts and contacts from the CRM to your Riva generated address books.
- Under the "Calendar" tab, confirm that the "Calendar name:" text box displays the name of the calendar that will be created in the GroupWise client, e.g. "SugarCRM Calendar". Also check which type of calendar items to synchronize to the Riva CRM calendar in the GroupWise client.
- Under the "Other" tab, confirm that the "Parent folder name for module content:" displays the name of the root folder for Riva CRM content that will be created in the cabinet in the GroupWise cleint, e.g. "SugarCRM Content". Also check which types of CRM data to synchronize to the Riva genertated content folders.
- Under the "SmartConvert" tab, confirm that "Enable SmartConvert" is checked, and that the "Parent folder name for convert folders:" displays the name of the "Create" folder that Riva will create to allow drag-and-drop or drag-and-link to create new quotes, opportunities or cases, e.g. "Create New".
Riva will create "Create New Quotes", "Create New Opportunities" and "Create New Cases" folders inside the Riva CRM Content folder structure.
Also check "Ignore CC and BC email addresses" (optional) and confirm the information in the "Filter:" text box is correct.
- Under the "Assign To" tab, confirm that "Enable Assign To" is checked, and that the "Parent folder name for Assign To folders:"
displays the name of the "Assign to" parent folders that Riva will create for quotes, opportunities or
cases, e.g. "Assign To".
Riva will create "Assign To Quotes", "Assign To Opportunities" and "Assign To Cases" folders inside the Riva CRM Content folder structure.
Also select the desired Category name and colour and set the limits to the "Assign To Folder Creation Filters".
- Click the "OK" button to initiate the reinitialisation of data.
Changes to SmartConvert
Under the SmartConvert Tab, you
will "Smart Convert To" has been renamed "Create". This can be
localised to the appropriate local language term. This will be the
prefix for each of the new sub-folders under Opportunities, Quotes,
Cases, etc. We recommend you use something like "Create New". The
option to exclude domain names when auto-creating the contacts and
accounts with the Smart Convert function has been added. The option to
not use the BC or CC fields when using SmartConvert (Create) to
automatically create contacts or accounts when creating new
opportunities, cases or quotes is now available.
New "Assign to" Feature
The
biggest new feature with this release is the "Assign To" function.
This allows users to drag-and-drop or drag-and-link emails and assign
them to existing cases, opportunities, quotes, etc. If you enable this
function, you will need to assign a category and colour to identify the
opportunities and cases that are going to have "Assign To" folders
created. Because this option creates a new category and because
categories are not available in the GroupWise client until the client
is restarted, users will need to restart the client after the first
initialization has occurred to see these features. Once assigned, the
name and colour of the "Assign To" category cannot be changed. Under
the Opportunities, Quotes and Cases folders, for each of the
Opportunities, Quotes and Cases that have the category applied, you
will see an "Assign To" folder. This "Assign To" folder will include a
link to the related master email under the Opportunities, Quotes or
Cases folders. When the maximum number of allowed folders or the
maximum age date (60 and 60 by default) is reached, the folders will
automatically be renewed to reflect the new items.
Changes to GroupWise Folders That Riva Creates and Synchronises To
There
is a change in folder structure to support this functionality. In the
administration interface, you will see a new tab called "Assign To".
You can change the default category and colour used to track this
functionality. If you enable the "Assign To"option, the user will see
the last 60 days of quotes, cases, opportunities in his "Assign
To"folder (default of 60). You can change the date and maximum value
as you require. Cases, quotes and opportunities that match the "Assign
To" maximum number and date range will automatically have a folder
created under the "Assign To" folder. You can tell which cases, quotes
and opportunities will have "Assign To" folders created based on the
assigned colour and category. For example, if you have 100
opportunities that have been created in the last 60 days, the first 60
will be the colour of the category for the "Assign To" option and will
have "Assign To" folders created for them. The rest of the cases,
quotes and opportunities will be black with no category. For
Opportunities, Quotes and Cases, the user will see is a structure that
looks like this:

Under
the each of the parent folders, you will see the list of the cases,
opportunities and quotes that are assigned to you. Cases,
opportunities and quotes that meet the "Assign To" criteria will be
assigned the "Assign To" category and colour and a sub-folder will be
created for each of these cases, opportunities and quotes under the
"Assign To" folder. When you drag-and-drop or drag-and-link an email
from your mailbox to the Create New Case folder, it will automatically
create a new contact and account if they don't already exist in the
CRM. It will create the case, opportunity or quote. It will assign
the new case, opportunity or quote to the appropriate account and
synchronise it back to GroupWise to be available to be managed in
GroupWise.
For each of the Opportunities, Cases and Quotes,
under the "Assign To" folder, you will see a sub-folder for each of the
existing items that meet the "Assign To" maximum and date range
criteria. When you drag-and-drop or drag-and-link an email into one of
the sub-folders under the "Assign To" folder, the Riva "Assign To"
functionality will extract the email and assign it to the appropriate
case, quote or opportunity. After assigning (also called archiving)
the email to the CRM case, quote or opportunity, the email will be
deleted from the "Assign To" sub-folder.
Do NOT rename or
share Riva CRM managed folders. You can change the order of folders
within a parent folder but do NOT change the parent-child relationship
of the folder structure.

Riva CRM Desktop Edition will work in DEMO mode when installed. In DEMO mode, it will only synchronise those items that have been active in the last seven days. The demo version will allow for a maximum of 50 of each type of object (contact, account, task, appointment, opportunity, etc.).
