Overview


Sandusky City Schools is a K-12 school district located on the southern shore of Lake Erie with over 380 staff and 4,000 students. The district is recognized as a leader in the way it uses technology—from its Novell network infrastructure, Polycom videoconferencing systems, interactive SMART boards and VoIP telephone network, to its implementation of Omni eControl and Enterprise Management Utility (EMU) to deliver simplified, delegated and unified management of the district's Novell eDirectory and GroupWise accounts.

The Challenge


Sandusky City Schools has only three full-time IT staff to manage their entire network and IT infrastructure. The fact they are able to manage this with only three full-time staff exemplifies the quality and caliber of the team—and how the Novell ecosystem of solutions and third-party products allow Sandusky City Schools to operate efficiently and cost-effectively with a lean staff.

For example, one of the challenges that faces all K-12 school districts is that of simplifying and automating user account provisioning and management. While Novell ConsoleOne and iManager deliver a powerful set of management tools for network engineers, they are highly complex and require administrator rights and extensive knowledge of network, directory and email systems.

"We really needed two things," said Brett Kluiber, Network Technology Coordinator for Sandusky City Schools. "We needed an administrator tool that would quickly and easily allow us to bulk create 4,000 student eDirectory accounts at the beginning of the school year and to assist with other directory management and migration tasks. The second thing was a simplified management tool that our non-technical front-line staff could use to provision student accounts on the fly and carry out password resets and other basic account management tasks."

The Solutions


"Omni eControl and EMU were recommended to us to satisfy those needs," said Kluiber.

"eControl allows me to configure the tasks and search contexts I wish to delegate to helpdesk and front-line staff. Initially, I was most interested in delegating password resets without having to give users access to ConsoleOne and iManager. After seeing how well eControl worked to accomplish this task, I started to enable more tasks available—including distribution list management, GroupWise proxy management, user account provisioning, etc. Our secretaries, for example, can now use eControl to create student eDirectory accounts on the fly from any browser. This saves us, the IT team, a huge amount of time—at least 15 minutes per new student."

"Omni's Enterprise Management Utility is the best tool I've ever seen for bulk creating, modifying, managing and deleting thousands of eDirectory and GroupWise accounts at the same time," said Kluiber. "In addition to using EMU to create our 4,000 student accounts in an afternoon at the beginning of the school year, EMU saves us a lot of time for moving student accounts across servers and enforcing stricter password policies for students in the higher grades. For example, we use EMU to enforce a policy that passwords be at least eight characters long and be changed every 90 days."

The Results


"With less than 10 minutes of training, I can teach a new helpdesk staff member, teacher or secretary how to use eControl to reset student passwords, release intruder lockout, manage group memberships, manage print queues, and more—with no access to ConsoleOne or iManager and no administrator rights in the network," said Kluiber. "Through eControl's audit logs, I have full oversight into who made which change and when the change occurred."

"It's really slick how eControl ties in both eDirectory and GroupWise. Compared to ConsoleOne and iManager, it's a piece of cake for users to use eControl to manage eDirectory and GroupWise accounts, distribution lists and other directory resources. eControl is also a tremendous help on the Linux side for automatically setting the proper rights and access for accounts."
